The sticker price of a subscription is rarely the number that matters. This is the same requirement, costed both ways over a normal replacement cycle.
Worked on 10 users at $30 per user per month, a common mid-market per-seat rate, against a premium CRM build at $6,800. Your own comparison depends on the vendor, the seat count and how long you keep the system. Break-even here falls inside year two, and everything after it is margin.
You approve a specification of screens, roles, reports and business rules. We price that specification. The figure then holds unless you extend it, and any extension is always your decision.
You describe the operation. We document what the system must do and return it with a fixed price and a delivery date. Nothing is charged for this stage.
If the figure does not suit, you retain a written scope you are free to take elsewhere.

You are never materially ahead of the work, and we are never materially ahead of the payment. Each stage closes with a build you can review before the next invoice is raised.
Payable on your sign-off of the written scope and delivery date. This is the point at which the engagement is committed to the schedule and data modelling begins.
Payable when the operational screens are ready for your teams to evaluate against live data. You will have reviewed most of the system by this point.
Payable at handover, alongside the source code, the database and the walkthrough. The 30-day warranty period commences here.
New work is quoted as new work, when you require it. There is no standing charge and nothing renews automatically.
Where we procure any of these on your behalf, the cost is passed through at invoice value with the receipt provided. We do not apply a margin to third-party services.
Card and wallet payments on this site are processed by PayFast, our licensed payment provider, on their own secure page, so card details never reach our servers. Invoices are raised in USD unless an alternative currency has been agreed in writing. Taxes are applied where statute requires and itemised as a separate line, never absorbed into the total: a gateway charge of 3 per cent and sales tax of 18 per cent are shown as their own lines on every order summary before you pay.

We price the addition and state its effect on the delivery date, and you decide before anything is built. Nothing is added to your invoice that has not been agreed in writing beforehand.
Not by default, and never automatically. Some clients prefer a monthly support agreement covering changes and priority response, and that is available, but it is a separate arrangement you opt into. The software continues to operate whether or not you hold one.
On larger programmes, yes. Longer engagements are frequently divided into further stages precisely so each payment remains modest and is tied to a delivered milestone. Raise it when you submit your requirements and we will structure the quotation accordingly.
Prior to commencement, a full refund. Once work has begun, you are refunded for stages not yet delivered and charged only for what has genuinely been completed. The position is set out in full in the Refund and Cancellation Policy, linked in the footer of every page.
State the sector, the number of sites, the user roles and any systems this must integrate with. That is sufficient to quote against.
